Job Description:

Our Property Acquisition Team is looking for 2 Property Data Coordinators to join our team! This role will, play a key role in the day-to-day administration and management of Metrolinx’s real estate portfolio, with a particular focus on the effective onboarding of new property contracts and continued utilization of the ProLinx system (Oracle Primavera Unifier).

Job Responsibilities:

  • Liaise regularly with stakeholders within Property Acquisitions, Development, and Legal Services, and leads onboarding of new property contracts into system post-transaction
  • Collaborative with other members of the Property Administration team in managing lease administration
  • Identify gaps, issues, and best practices, and ensures that the software is functioning effectively and efficiently
  • Interpret and extract key terms related to real estate contracts, including Agreements of Purchase and Sale, Licenses, Leases and Easements
  • Monitor Metrolinx’s real estate data to ensure its integrity by tracking and verifying the documents through the project
  • Input and provide analysis to support continuous improvement of business processes and procedures related to Real Estate Management’s evolving requirements
  • Manage property data to ensure consistent updating of information to ensure timely and accurate reporting of property acquisition status, expropriation status and delivery status for each project

Job Requirements:

  • Experience with computer applications (e.g., MS Office Suite (Outlook, Word, Excel, PowerPoint, etc.), databases, timekeeping systems, and other application software
  • Interpersonal, customer service, and oral/written communication skills to respond to or direct enquiries, interact with and provide support to all staff levels, and to generate a variety of correspondence, reports and documents
  • An understanding of the processes of real property acquisition and disposition, particularly in a public sector context
  • Planning, organizing, and coordination skills to plan, prioritize, and organize work assignments to meet deadlines and achieve assigned objectives
  • Completion of a diploma in Business Administration, Real Estate Property Management or related field – or a combination of education, training and experience deemed equivalent
  • Minimum two (2) years’ experience with project lifecycle management solution systems, with a real estate management context preferred
