Job Responsibilities: Other duties as required Will maintain high level of professionalism in dealing with all internal and external customers Reconcile volumes and billing for Air Service Providers and Canada Post Track and maintain records for card replacements Processing invoices, expenses, reimbursements as well as ordering office supplies and making travel arrangements as well as itinerary management Air Operations Administration Co-ordinate the replacement of fuel cards with Field Operations Prepare quarterly reporting to General Accounting Record keeping including developing and maintaining a well-organized file system that permits easy reference and retrieval of information Interprovincial Fuel and Mileage Reporting (IFMR) Update vendor databases with current fuel card and vehicle data Answer/direct calls, review and sort mail/faxes/e-mail identifying actions required and taking action where appropriate Calendar maintenance and ensuring alignment of calendars/expectations across National Air Operations team Process purchase orders and invoicing; tracking and dispatching of specific requests. Verify data and corrections with terminals Co-ordinate weekly terminal reporting for IFMR system Revenue Vehicle Fuel Card systems Prepare written documentation such as, but not limited to, correspondence, reports, statements, and expense reports on a timely and accurate basis, utilizing appropriate computer software and standard formats.
