Job Description:

Under the general direction of the Associate Director, University Student Recruitment and supervised by the Senior On-Campus Recruitment Officer, the Front Desk and Administrative Support position provides front-line and administrative support to the members of the Recruitment and Communications teams to assist OSR in achieving its recruitment objectives. The incumbent provides information to prospective students and their families, community members, staff, faculty and visitors and is responsible for positively representing the University of Toronto (tri-campus) in order to recruit well-qualified students to the University. The incumbent proactively provides high quality, customer-friendly, front-line service over the telephone, by fax, via email and in person to all visitors to the Nona MacDonald Visitors Centre. Often being the first point of contact for any visitors to the St. George campus the incumbent interacts with the visiting public and university colleagues representing a broad demographic diverse in age, culture, gender, sexual identity and ability. The incumbent schedules campus tours and tour guides.

Job Responsibilities:

  • Booking rooms and arranging appropriate accommodations
  • Following rules and procedural instructions when opening and/or closing work area
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Performing routine data entry
  • Determining logistics required for virtual recruiting initiatives
  • Tracking and maintaining a calendar of events
  • Acting as the first point of contact for general enquiries
  • Determining logistical details and activities for events and/or programming

Job Requirements:

  • Familiarization and ability to communicate UofT’s academic programs in the context of a tri-campus university system
  • Completed college diploma (two [2] years); or equivalent combination of education and experience
  • Ability to exercise discretion, judgement and initiative in decision making, handling confidential documents or information, selecting and interpreting information
  • Basic understanding of the admissions process, and refer to admission reference materials as required; Good understanding of University policies is essential
  • Ability to communicate in-person, telephone and email inquiries from prospective students and their parents demonstrating sensitivity to race, ethnicity, religion, culture, disability,sexual and gender diversity
  • Must be conversant with issues related to student recruitment, admission and/or university life
  • Demonstrated experience providing front line service
  • Demonstrates a high degree of familiarity with the three campuses of the University of Toronto to meet the needs of a prospective student
  • Working knowledge of Microsoft Office suite (Outlook,Excel, Word, PowerPoint)

Qualification & Experience:

  • Minimum two (2) years’ experience in a university administrative environment or in a fast paced customer service environment
  • Experience in planning and coordinating large group events and programs
