Job Description:

This role includes the responsibility to manage the day-to-day building operations for BCCHRI. The Facilities Coordinator is the contact person for the preventative maintenance, maintenance, and repairs at BCCHRI. Receives and expedites requests, deals with complaints, coordinates minor and cyclical projects in conjunction with inspecting the facilities for maintenance and safety requirements, and responds to inquiries related to building operations activities. The Facilities Coordinator acts as a liaison with entities such as BCCHRI, BCCHF, PHSA, C&W and UBC. Works directly with researchers to troubleshoot equipment issues and calls in support as required. Maintains good relationships with faculty, staff, students, facility managers, trades personnel, external resources and facility users in order to work on issues related to facilities managed by BCCHRI. The Facilities Coordinator also shares, with the Director of Facilities, the responsibility in ensuring the safety of occupants and visitors for all activities relating to the operation and maintenance of facilities (building, building equipment, and grounds).

Job Responsibilities:

  • Acts as a resource regarding policies and projects related to existing & laboratory facilities, and equipment.
  • Manages all security-related aspects of the building, including key and ID card access. Ensures card access and building security systems are properly maintained and provide reasonable protection for all stakeholder groups within the facility.
  • Uses the EPro system to place purchase orders for service contracts, equipment, supplies, and consumables. May also research and recommend new vendors for supplies, services, and equipment.
  • Coordinates Building Communication notices.
  • Identifies problems related to shared equipment life expectancy issues and schedules repairs.
  • Composes internal/external correspondence to faculty, staff, students, etc. to provide information related to facilities operations, shutdowns, etc. to ensure concerns are addressed in a prompt and appropriate manner.
  • Facilitates requests for routine and preventative building maintenance. Works with the Director of Facilities and C&W Facilities, Maintenance, and Operations to coordinate and communicate service shutdowns and follow up to ensure satisfactory completion of work.
  • Manages the institutional waste disposal program, which includes retired lab equipment, autoclaved garbage, and chemical, biological and cytotoxic waste. Monitors and maintains the radioactive decay, biohazard waste, and solvent storage rooms and arranges for storage and disposal in consultation with the UBC Risk Management Services. Coordinates the moving, start-up, and decommissioning and terminal cleans of labs. Ensures that all chemical shipped to UBC for disposal are coded/ labeled in accordance with UBC procedures.
  • Manages the day-to-day operations of the buildings; establishes and maintains contact with users (faculty, staff and students); ensures the provision of building operational services is understood and accommodates user/Faculty needs; expedites requests; provides advice, obtains estimates as required; deals with complaints and ensures that the user requests are dealt with in a satisfactory manner. Checks on a regular basis with key BCCHRI members for needed repairs and schedules and/or coordinates corrective action as required.
  • Ensures all Facilities-managed equipment is serviced, maintained, and certified in accordance to relevant relations. Oversees custodial team duties and additional requests. Liaises with outside service providers (contractors, service representatives, and trades personnel), faculty, staff, departmental managers, etc. as and when necessary.
  • Evaluates work requests and conducts a preliminary analysis of the scope of work, obtains cost estimates and supporting documentation.
  • Performs other related duties as required.
  • Works in conjunction with various stakeholders in the coordination of logistics for lab and office assignment (room configurations, set up and removal of furniture and equipment for the Faculty, office moves, furniture installation and relocation for faculty, staff and students).
  • Advises and acts as a resource regarding policies and projects related to existing laboratory facilities, and equipment.

Job Requirements:

  • Technical School Diploma in Housekeeping Management. Minimum of two years of related experience, or an equivalent combination of education and experience.
  • Exercises judgment and initiative in decision making situations involving work methods and procedures within a defined area; in the selection and interpretation of information; in resolving issues not clearly covered by established guidelines; in coordinating staff and assessing performance. Coordinates and supervises the facilities staff as needed. The coordinator works with leadership of multi-disciplinary teams and working groups, and should demonstrate experience in team leadership and development.
  • Experience working with union and non-union trade personnel and contractors preferred.
  • Experience in a hospital or university based research facility; TDG certification; completion of UBC/other Biosafety and Chemical Safety Courses; certification in Project Management are all assets.
  • Strong interpersonal skills coupled with excellent organizational and project management abilities; excellent oral and written communications, good judgement and discretion are required.
  • Detail-oriented with an ability to prioritize and exercise initiative and demonstrated analytical and decision-making skills, yet still able to take direction is necessary.
  • Someone with the ability to work under pressure with a diverse group of people, policies & procedures that consistently make tight deadlines is preferred.
  • Advanced knowledge of a variety of computerized software products such as Microsoft Office (Word, Excel, PowerPoint), other database application, scheduling, email and internet applications required.
