Job Description:

Under thesupervision of the Event Operations Manager, Hospitality Services, the Event Operations Assistant (EOA) is a champion of customer service at Hart House. The incumbent upholds superlative customer service standards and plays a critical role in ensuring that all elements of an event are successfully delivered and executed for the benefit of our clients and guests. The EOA develops and maintains excellent relations with a variety of Hart House client groups comprised of students, University faculty and staff, and community members. The EOA works in close collaboration with other in-house staff to ensure that events take place without incident and to the complete satisfaction of the client. The incumbent is responsible for communicating guidelines and legal obligations for use of facilities to users.

Job Responsibilities:

  • Checking that assigned work completed meets expected standards
  • Verifying that event management guidelines are maintained
  • Liaising with others to coordinate event set-up, changes and schedules
  • Conducting post-event evaluation, analysis and recommendations for changes
  • Executing assigned tasks according to production schedules and project plans
  • Coordinating the delivery and set-up of supplies, rentals, linens and small wares with contacts
  • Determining logistical details and activities for events and/or programming
  • Providing detailed information on event logistics to clients

Job Requirements:

  • Demonstrated commitment to equity, diversity and inclusion in all work responsibilities and in collaborative workplace practices.
  • Strong knowledge of service standards, and different service types.
  • Strong organizational skills; accuracy and attention to detail.
  • Previous experience supervising staff in a unionized environment.
  • Ability to manage and organize numerous and competing tasks in a high-volume environment.
  • Demonstrated understanding of and commitment to superlative customer service.
  • Excellent communication skills (interpersonal, written, verbal).
  • Food Handler Safety, Smart Serve, and WHMIS Certification.
  • Understanding of current industry trends for décor, buffet and table presentation, etc.
  • Demonstrated experience in event inventory management, including furnishings, linens, cutlery, glassware, etc.

Qualification & Experience:

  • College Diploma (2 years) in a Hospitality Management program from an accredited institution, or acceptable combination of equivalent experience.
  • Experience and/or education in project management.
  • Minimum five years related experience in a public-facing role in a large full-service high-volume events operation or establishment.
  • Experience working in a start-up business and contributing to research, growth, and development.
  • Experience ensuring room set ups and service are executed according to established standards as well as assessing and advising on standard operating procedures to meet client demand.
  • WPIC certification
  • Demonstrated experience in creating and delivering reports, including post-event reports, bar reports, equipment maintenance requests, etc.
