Job Description:
As Clinical and Professional Programs Assistant, you will support program directors, faculty and students of our relatively new and innovative professional master’s program which jointly trains new pathologists’ assistants and clinical embryologists, the first of its kind in Canada, and our established postdoctoral diploma programs in clinical chemistry and microbiology, in the coordination of program activities which include communicating with prospective learners, handling applications, onboarding, and orientation of new learners to the programs, and documenting learner progressto program completion. Your exceptional interpersonal skills with faculty, learners, and staff will be key when interpreting and supporting guidelines and processes related to admissions, learner progress, and program completion. Your demonstrated ability to facilitate, navigate, and support learners and faculty through their educational experiences will be critical to the continued success and reputation of these programs.
Job Responsibilities:
- Acting as the first point of contact, responding to inquiries and redirecting as appropriate
- Creating and updating student records, organizing data and generating reports
- Coordinating rotation schedules, course and examination timetables
- Scheduling appointments for prospective students, applicants, and current students to address individual needs
- Verifying the accuracy and completeness of information and providing detailed information on eligibility requirements, procedures and deadlines
- Scheduling committee meetings and coordinating event logistics
Job Requirements:
- Excellent oral and written communications skills
- Proven ability to work independently and effectively manage competing priorities while maintaining a high degree of accuracy and quality
- Demonstrated experience coordinating academic programs, coordinating examinations, schedules and timetables, and verifying and monitoring student records
- Strong initiative, attention to detail, interpersonal, proactive and highly resourceful
- Demonstrated student services experience and direct experience working with and collaborating with faculty
- Must be able to cope with pressures and deadlines while adapting to evolving processes and procedures
- Advanced proficiency with MS Office Suite, student information systems, learning management systems and content management systems
Qualification & Experience:
- Experience collecting, maintaining and reporting on data
- Experience supporting awards administration
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience
- Minimum two years of related administrative experience, preferably in a University or post secondary environment
