Job Description:

The Medical Support Assistant (MSA) performs a full range of duties related to the delivery of healthcare services in an inpatient or outpatient setting. Advises clinical staff on current administrative processes. The MSA is responsible for answering phones, greeting patients, relaying messages to appropriate staff inside or outside of Office of Community Care (OCC), and verifying provider orders in accordance with VHA national scheduling guidelines. Job Responsibilities:

  • Contacts Veteran by telephone to explain pending or new consult request;
  • Evaluates patient information and clinic schedule lists to determine whether patient is vested.
  • Manages priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs;
  • Ensures that veteran appointments are made with other VA facility, contract site, or community providers of Veteran’s choice as appropriate;
  • Informs team members about shared patients (i.e. those who receive their care at multiple VA centers or those who receive care in the community.
  • Manages VISTA, CPRS, FBCS, HSRM, eCAMS, and other electronic patient systems to verify and validate accuracy and resolve issues;
  • Processes incoming patient secure messaging through MyHealthyVet and coordinates with care team as appropriate;
  • Identifies incomplete authorizations and communicates with OCC team and PACT providers;
  • Perform administrative follow-up actions.
  • Participate and provide input in problem solving on operational issues or procedures.
  • Utilizes automated tracking tools as well as computers to perform a wide variety of recordkeeping correspondence, tracking operations is required;
  • Participate in team meetings by sharing information and collaborating with the medical team to assure continuity of care.
  • Participates in team huddles and team meetings to manage, plan, problem solve, and follow-up with Veteran care by sharing information and collaborating with the interdisciplinary team;
  • Assists the team to reinforce the plan of care and self-help solutions;
  • Assures authorization is obtained from appropriate service chief for procedures performed at non-VA facilities;
  • Enters appropriate information into the electronic record; monitors pre-appointment information and/or requirements to assure readiness for patient visit/procedure;
  • Evaluates patient information and clinic schedules to determine whether the patient requires an immediate appointment;

  • This is a temporary appointment, and may be curtailed before the anticipated not-to-exceed date.
