Job Description: The role includes administration assistance on daily basis. This can involve scheduling/organizing meetings, travel (domestic & international), visa requirements, vacation scheduling, filing, typing, mail/file distribution, invoice management, maintain contact with all offsite offices, liase with head office and other business locations. In Mississauga, you’ll find Vale’s Base Metals Technology Development team; a group of highly trained engineers and scientists working to improve Vale’s competitive edge and support its growth strategies by coming up with safer and more environmentally responsible technology. Job Responsibilities: Organizes and maintains the Executive's correspondence and records, following up on pending matters with limited direction. Provides and obtains information from other managers and directors or outside representatives. Drafts correspondence for Executive's final approval. Prepares complex reports, and assists with gathering, summarizing, and analyzing data. Schedules appointments and coordinates arrangements for meetings and conferences and travel arrangements (flights, car rentals, hotel bookings) Processes invoices for payment into the SAP system and maintains invoice filing system. Ensures prompt payment to suppliers with agreed upon timelines. Investigate and resolve any issues arising. Organizes and prepares complex documents requiring the integration of multiple office technology and software applications. May act as an office resource for word processing and spreadsheet application. Receives and screens telephone calls, letters, and/or visitors, answering routine questions and obtaining and providing information to save executive's time. May transcribes dictation of a highly technical and confidential nature. Works independently with only general guidance on a variety of special projects. Frequently communicates with senior-level internal and external contacts and is regularly exposed to confidential data.
